Create a rate sheet to price many items at once

A rate sheet is a named set of item prices — "10% Off Inspections", "Municipal Contract 2026", "Allstate Master Agreement" — that you build once and attach to a customer or a property. Attaching it applies every price on the sheet in one step, so a standing discount or a negotiated contract doesn't have to be typed in item by item on each account.

Rate sheets live alongside your item catalog on Settings -> Items Pricebook, under the Rate Sheets tab.

Before you start

The items you want to price have to exist in your pricebook first. See Add or edit a pricebook item.

Building rate sheets, and attaching them to a customer or property, needs the item setup permission — the same one that opens Settings -> Items Pricebook.

Create a rate sheet

  1. Go to Settings -> Items Pricebook and open the Rate Sheets tab.

  2. Click New Rate Sheet.

  3. Give the sheet a Sheet name (required) and an optional Description. The name is what people see wherever the sheet prices something, so make it recognizable — the customer or contract it represents, or the discount it gives.

  4. Search for an item under Add an item and pick it. It joins the sheet at its book price.

  5. Set the price you want to charge for that item. Click the price to type a new one. $0.00 waives the item — the customer isn't charged for it at all.

  6. Repeat for every item the agreement covers.

  7. Click Save rate sheet.

The rate sheet editor

Fill every price from a percentage

For an across-the-board discount or markup, add the items first, then use Set every price to [ ]% of the book price: enter the percentage of the book price you want to charge and click Apply. 90 charges 90% of book (a 10% discount); 125 charges 125% of book (a 25% markup). The Change column shows each row's discount or markup against the book price.

The helper only fills the numbers in — a rate sheet always stores an explicit amount per item. You can adjust any individual row afterwards, and later changes to an item's book price never silently move the sheet's price.

Attach a sheet to a customer or property

  1. Open the customer (or property) and find the Custom Pricing panel in the billing section.

  2. Click Edit.

  3. Under Rate sheets, pick a sheet from Add a rate sheet….

  4. Click Save changes.

Every price on that sheet now applies to the customer's quotes, invoices, and jobs — including work your technicians add from the mobile app.

You can attach more than one sheet. When two sheets price the same item, the one lower in the list wins; drag the sheets by their handle to change the order. Attaching a sheet to a property applies it to that location only, on top of whatever the account already gets.

Pause a sheet instead of deleting it

The Sheet is active switch in the editor turns a sheet off everywhere without detaching it from anyone. A paused sheet stops pricing immediately — attached customers fall back to whatever else prices those items — and flipping it back on restores every price at once. This is the safe way to retire seasonal or expired pricing.

Deleting a sheet removes it from every customer and property it was attached to and can't be undone; Essential tells you how many records it's attached to before you confirm.
