# Create offices to organize your locations

Your main office is the business address already entered on Business Profile. Add another office when you also run work out of a branch, yard, or other region. You can then assign each customer to the location responsible for it.

Offices organize which location handles each customer and property. The effective office also supplies the address, phone number, and default brand on that property's quotes and invoices. Assigning an office does not change scheduling or pricing. When a business uses multiple portal brands, it can change which brand-scoped Customer Portal session can see the record.

> **Where to find it:** Settings -> Business Profile, in **Office Address**

## Before you start

Adding, editing, and deleting offices needs the **Set up Business Profile** permission — the same one that opens Settings -> Company -> Business Profile.

## Add the second office

1. Go to **Settings -> Business Profile**.
2. In **Office Address**, find **Additional offices** and click **Add 2nd office**.
3. Give it a **name** (required), address, and phone number.
4. If you have an additional brand, explicitly choose the new office's **Default brand**.
5. Click **Add 2nd office**.

The business address above **Additional offices** is always the **Main office**, and it uses the default brand from **Brand**. Edit that address or brand in the fields above and click **Save changes**. Adding the second office automatically shows office fields elsewhere in Essential; there is no separate setting to turn on.

## Add another office

1. In **Office Address**, click the numbered add action under **Additional offices** — for example, **Add 3rd office** when a second office already exists.
2. Give it a **name** (required). Use whatever your team calls it — "Northside", "Denver", or "Main yard".
3. Fill in its **address**. Start typing the street and pick a suggestion to fill city, state, and ZIP automatically, or enter it manually.
4. Add a **phone number** if the office has its own.
5. If you also have an additional [brand](/administration/settings/create-brands-for-multiple-business-identities.md), choose the office's **Default brand**. Nothing is preselected: explicitly choose the business profile or one of the additional brands.
6. Click the numbered add action, such as **Add 2nd office**.

Each additional office row shows its address, phone number, and how many customers and properties it is responsible for. When there are multiple brands and multiple locations, every row also shows its default brand and a note that brand details are edited in **Brand** above.

## Assign a customer to an office

Office fields appear automatically after you add a second office. With only the main office, there is nothing to choose between, so Essential keeps those fields hidden.

1. Open the customer and click **Edit**.
2. Pick an office under **Office**, or choose **Main office** to use the business address.
3. Click **Save**.

The customer's office shows as a pill next to their Active/Inactive status, and every property on the account inherits it.

## Give one property a different office

A property normally runs out of its customer's office. Override it when one location is handled somewhere else:

1. Open the property and click **Edit**.
2. Under **Office**, pick the office that handles this location. The first choice — **Customer's office (…)** — is the inherited value; choose it to drop an override and go back to following the customer.
3. Under **Apply office change to**, choose **This property only** or **Customer and all properties**. The broader option changes the customer's office and makes all of its properties inherit that office together.
4. Click **Save**.

The property page shows the office it actually runs out of. When it's the inherited one, it reads "from customer" next to the name.

Quotes and invoices for the property use that effective office automatically. The office supplies the address and phone number, while its **Default brand** supplies the customer-facing name, color, and logo. Choosing **Main office** uses the Business Profile identity and contact details.

## Where offices show up

| Where                         | What you see                                                               |
| ----------------------------- | -------------------------------------------------------------------------- |
| Customer page | The customer's office, next to their status |
| Customer page, Properties tab | An **Office** column with each property's effective office |
| Property page | The office the property runs out of, marked "from customer" when inherited |
| Customers list | An **Office** column with the offices across that customer's records |
| Properties list | An **Office** column with each property's effective office |

The Office column on the Customers list, Customer page's Properties tab, and Properties list only shows on wider (desktop) screens.

## Delete an office

Deleting an additional office returns its customers and properties to the **Main office**. Nothing else about them changes, and no work is lost. Essential tells you how many records that affects before you confirm. Deleting the last additional office also hides office fields elsewhere because the business is back to one location.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://learn.withessential.com/administration/settings/create-offices-to-organize-locations.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
