# Review visit checks

Visit checks help you catch due services, missing inspection reports, and unfinished work before a visit is saved or its summary is submitted. Scheduling suggestions and technician Job Summary suggestions are both on by default. An admin can turn either off independently in Settings.

## When scheduling

If a recurring service is due but the selected visit types do not cover it, the visit form explains what is missing. If your business uses expected asset group inspections, it also checks that all due groups for the selected services are tagged. Due labels appear beside asset groups.

1. Open the orange suggestion bar at the top of the form, above the property selector, to see the details. The bar names the first suggestion and counts any others. The highest-priority items appear first; expand **Show more** to see the rest.
2. Choose **Add to visit** to add the suggested visit type or asset groups. You return to **Add Details** to see the updated selections, even if other checks still need attention. Your chosen technician, date, and start time are preserved. The checks update as you change the form.
3. If you are leaving a due visit type off this visit, save normally. The suggestion stays visible while you edit and needs no acknowledgment, reason, or extra save confirmation.
4. Asset-group warnings still appear for review when you save. If those groups are not needed, choose **Not needed** and select a reason. **Other** requires a note for the office.

For a long review, scroll through the checks and existing jobs. The Save and Cancel buttons stay visible.

When you change an existing visit's date or coverage, checks review only newly missing work or additional missing asset groups. A date change does not ask you to decline the same work again, and moving earlier does not repeat a smaller version of the same suggestion. Changing only a description or technician does not prompt you to review the same coverage again. For a visit already on the calendar, changing only its due date also leaves the checks unchanged because they use the scheduled start. Bulk visit creation and technician self-scheduling do not use these checks.

**Undo** reviews newly missing work brought back by restoring the visit; unchanged suggestions stay quiet. You can add a suggested visit type or leave it off without giving a reason, then choose **Apply undo**. Asset-group warnings still require review. Cancel keeps the latest saved visit.

Save to Backlog checks the due date, or today if no due date is set. Moving a scheduled visit back to Backlog reviews that date too. Choosing Add to visit opens the visit editor and cancels the move; save the work there, then move the visit again. Scheduling uses the visit's start date. For a scheduled multi-day visit, review covers every visit date in the range. If you fix an asset-group warning and later undo that fix, choose a new reason before saving. Due visit-type suggestions remain optional, including for multi-day visits.

## When submitting a summary

On mobile, reminders appear at the top of **Job / Visit Summary**. They may flag missing or draft inspection reports, including an expected asset group without a submitted report. Photos, billable items, and work acknowledgments produce reminders only when at least 95% of 20 or more performed visits of the same type in the last 12 months included them. Service-completion records do not produce technician reminders; they may be created when an inspection report or the summary is submitted.

Tap **Review** beside a reminder to open the relevant work. Choose **Save & Submit to Office** when ready: reminders do not open another review screen, require a reason, or prevent submission. Required summary fields still need to be completed. High-priority reminders appear first.

Missing-report reminders are informational when you choose an incomplete status or one of your business’s custom closeout folders. Choosing a custom folder does not imply that the job is ready to invoice. A report on another visit in the same job or an unavailable report template may also appear as information.

Billable reminders appear only for a ready-to-invoice status with no billable items or linked quote/invoice. They use the invoice item totals for the whole job, including earlier visits. Work acknowledgment reminders appear only while your business has Work Acknowledgments enabled.

Your summary remains available while you open a report or add photos. Offline, reminders use the visit and reports saved on your device. Saved notes, status, billable quantities, and completion choices remain available when you reopen the summary before reconnecting.

When editing an existing summary, the **Review service completions** action opens Recurring Service Completions. For a group with assets, open its service, select the assets completed, and choose **Save Selection**. For a group with no assets, turn on its completion switch. Save the summary to record your choices against the visit.

Completions recorded in an inspection report are read-only here; make any correction in the report. If an older saved visit asks you to refresh before editing a completion, reconnect and refresh it first.

Photos added while editing an older visit count toward that visit’s photo check. Bulk completion choices also use that visit’s date.

An offline first summary retains its empty-group switches when reopened. You can cancel a choice before it starts syncing. If the first submission may already have synced, sync and reopen the summary before changing that choice.

Saved completion choices remain available offline. Choose **Review service completions** to reopen them, including after saving your summary. Reselecting an asset after removing its completion offline preserves the original completion and due date. Turning off an empty-group choice before reconnecting cancels that queued completion; other selected completions still sync. If you leave with unsaved completion changes, Essential asks whether to discard them.

Reasons for scheduling asset-group warnings are accepted when you continue. Due visit-type suggestions and summary reminders require no reason. Neither reappears as a reminder on the Job page or the visit's Job task.

## Configure checks

> **Where to find it:** Settings > Work Management > Visit checks

Admins with permission to edit Scheduling features have two switches:

* **Scheduling suggestions**: suggest missing services and asset groups when scheduling a visit.
* **Job Summary suggestions**: show technicians reminders for missing reports and unfinished work at the top of Job Summary. These reminders do not add a submission screen or block Save & Submit to Office.

Both switches start on. Turn off either one without changing the other, then click **Save changes**. **Discard changes** restores the last saved settings. Technicians receive setting changes when their visit data next syncs; offline visits keep their last synced settings.

If settings change while you are editing, reload and apply your changes again.

If an expected inspection has no available report template, the review provides an informational reminder to ask the office. It does not block submission with an unavailable Review action. A draft report does not count as a completed service; service-completion reminders follow their own settings.

Moving a visit to another day on the calendar opens a review only if the move introduces additional missing work, such as a service becoming due on the new date. For exact-time visits, Add to visit updates the work before saving the move. For estimated visits, Add to visit opens the visit editor; save the missing work there, then move the visit again. You can leave a due visit type off and choose **Save change** without selecting a reason. Cancel keeps the original date. Moving within the same business day does not repeat the review. Override badges disappear when a check returns to shadow mode or is turned off.

### If checks cannot load

You can keep editing visit instructions and other fields. Saving waits for the check data; choose **Retry checks** to reload it, then review any warnings before saving.

When correcting service completions, removing work recorded by the updated app also restores the due-date advance it caused. Later completed work stays intact. Older completions without due-date history, or services whose recurrence changed afterward, need an office review of the due date before they can be removed; an unsuccessful correction leaves the completion and schedule unchanged.

After a summary has synced, **Review service completions** keeps saved empty-group choices available even when the reminder has cleared. Turn a choice off and save to remove that summary's completion. Later report, office or other-visit work is preserved. If the recurrence or an earlier report changed, the app asks for office review instead of guessing the prior due date.

Undoing a deleted visit reviews the work due on its restored date before the visit is recreated. Canceling that review leaves the visit deleted.

If the office changes a service, asset, or schedule while you are offline, an incompatible completion choice asks you to refresh or contact the office. The summary and its completion changes stay unsubmitted together; a selected completion is never silently dropped.

If an offline summary is permanently rejected, its dependent edits are retired with it. Refresh and submit a corrected complete summary; those edits will not partially fill a Missing Summary task. Undoing a service completion preserves the visit’s prior pending work. Older completion history may require the office to review the schedule before it can be removed.

A cancelled or closed visit does not count as future coverage for due work. An offline choice to complete an empty group asks you to refresh if the group gained assets or its service is no longer eligible; already-recorded completion choices remain available. Removing an early empty-group completion restores its prior pending-work state.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://learn.withessential.com/customers-and-work/scheduling/review-visit-checks.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
